CURATED PARTICIPANT EXPERIENCE
The Wild Heritage Fall Fair & Heritage Makers Market is a curated event. Participation is not based solely on application date but on alignment with the event vision, participant quality, educational value, product diversity, and overall contribution to the event experience.
Our goal is to create a complementary lineup of makers, artisans, producers, educators, demonstrators, organizations, and businesses that support one another and contribute to a positive experience for attendees. We intentionally seek to minimize direct competition and encourage collaboration, relationship building, and community connection.
APPLICATION REVIEW & ACCEPTANCE
• Submission of an application does not guarantee acceptance.
• All applications are reviewed by the event committee.
• Successful applicants will receive an acceptance email and participation agreement.
• The event reserves the right to limit the number of participants within any category.
• The event reserves the right to decline applications that do not align with the event vision, values, or available space.
PARTICIPANT CAPACITY
Indoor Vendor Capacity. The event is currently limited to approximately:
• 16 vendor spaces within the Multipurpose Room
• 8 vendor spaces within the Lounge
Total Indoor Capacity: 24 curated participant spaces
Additional outdoor spaces may be available for approved vendors, exhibitors, demonstrators, organizations, and food service partners.
BOOTH SPACES
Standard Indoor Booth

Vendors must provide their own tent, weights, tables, chairs, and display equipment
Demonstration & Exhibit Spaces
Space requirements will be reviewed individually based on activity and equipment needs.
ELECTRICITY
Limited electrical access is available.
• Electricity must be requested during the application process.
• Electrical access is not guaranteed.
• Priority will be given to participants with operational requirements.
• Participants must provide their own extension cords and equipment suitable for public event use.
SETUP
Friday Evening Setup (Tentative)
• 5:00 PM – 8:00 PM
Saturday Setup
• 7:00 AM – 9:30 AM
All participant vehicles must be removed from event areas no later than 9:30 AM.
EVENT HOURS
Public Event Hours
• 10:00 AM – 5:00 PM
Participants are expected to remain set up and operational for the entire duration of the event.
EARLY DEPARTURE
Early teardown negatively impacts attendee experience and fellow participants.
Unless approved by event management due to emergency circumstances:
• Early teardown is not permitted.
• Early departure may affect eligibility for future participation.
TEARDOWN
• 5:00 PM – 7:00 PM
Participants must remove all products, equipment, displays, and waste materials from their assigned space.
PAYMENT TERMS
Approved participants will receive:
• Acceptance Notification
• Participation Agreement
• Payment Instructions
Booth spaces are not considered secured until payment has been received.
Payment must be received within 24 hours of acceptance unless alternate arrangements have been approved in writing.
Due to limited space and anticipated demand:
• Unpaid spaces may be released without further notice.
• The event reserves the right to offer unpaid spaces to waitlisted applicants.
• Failure to complete payment within the required timeframe may result in loss of placement.
INSURANCE
Participants may be required to provide proof of liability insurance depending on the nature of their activities.
Food vendors, demonstrators, livestock exhibitors, and certain exhibitors may be required to provide additional documentation.
HEALTH & SAFETY
Participants agree to:
• Maintain a clean and safe booth area
• Follow all venue rules and regulations
• Comply with Alberta health and safety requirements
• Ensure displays are secure and stable
• Keep aisles and exits clear at all times
FOOD VENDORS
Food Service Partners must:
• Hold all required permits and certifications
• Comply with Alberta Health Services requirements
• Maintain all required food handling practices
• Carry required insurance coverage
DEMONSTRATORS
Demonstrators must disclose:
• Open flame use
• Heat sources
• Sharp tools
• Power equipment
• Animal participation
• Any activity that may present elevated risk
Additional approvals may be required.
LIVESTOCK & ANIMAL EXHIBITORS
Animal exhibitors must:
• Follow all applicable animal welfare requirements
• Provide adequate containment and supervision
• Maintain clean exhibit areas
• Ensure animals are healthy and fit for transport
• Follow any event biosecurity requirements
MARKETING & PROMOTION
By participating, applicants grant permission for the event to use submitted photographs, logos, business names, and descriptions for promotional purposes.
Participants are encouraged to actively promote the event through their own networks and social media platforms.
WAITLIST
Once participant capacity has been reached, qualified applicants may be placed on a waitlist.
Waitlisted applicants may be offered participation opportunities if spaces become available.
EVENT CANCELLATION
In the event of circumstances beyond the control of the organizers, including severe weather, facility closure, public health restrictions, or other unforeseen events, organizers reserve the right to modify, postpone, or cancel the event.
COMMUNITY VALUES
The Wild Heritage Fall Fair & Heritage Makers Market is built upon respect, collaboration, education, stewardship, and community.
Participants are expected to conduct themselves professionally and respectfully toward attendees, volunteers, fellow participants, sponsors, and organizers at all times.
The event reserves the right to remove any participant whose conduct is inconsistent with these values.
